Do I need an API key to try it?

To see it work, no: the app comes with a built-in demo of 5 sample invoices. Run it, watch the table fill in, export it. No key, no cost.

For your own files, yes. Connecting a key takes about a minute: the app opens the right page, detects the provider and tests the key. The 3-day trial starts with your first batch.

What is an API key and how do I get one?

A password that lets an app use an AI service on your own account. Your provider bills what you use, often a few cents per batch. Create one here:

Add a little prepaid credit first. Gemini has a free tier, enough to test; Google may use free-tier data, so enable billing for confidential files.

Rather not use a key at all? Run a local model.

How is my API key secured?

It's encrypted in your operating system's keychain (Windows Credential Manager or macOS Keychain), never in a plain file. The app reads it when a batch starts and sends it only to its provider, over HTTPS. There is no BatchAI server, so we never receive, log or store it. Delete it from Settings at any time.

Is my ChatGPT Plus or Claude Pro subscription enough?

No. Chat subscriptions and API access are billed separately, even at the same company. The API is pay as you go, usually a few cents per batch. How to set it up.

How much will the AI cost me?

You pay your AI provider directly, for what you use: about $0.0003 per page with Claude Haiku 5.5. At public prices (October 2026), 1,000 one-page documents cost about $0.33 with Claude Haiku 5.5 and $13 with Claude Opus 5.5.

The app shows each batch's cost as it runs; the calculator estimates yours. Your provider's invoice is the reference.

Are my files stored or sent to you?

No. Files are read on your computer and sent only to the AI provider you chose, with your key, under its terms. With a local model, nowhere.

Results stay on your computer. During a batch, a recovery journal (file paths, extracted values) is kept on your disk, then deleted. The only other connection is a weekly license check with Lemon Squeezy, without your files.

Confidential files? Check your provider's data terms, choose Locally extracted text, or run a local model.

Does it work offline or with local models?

Yes, with a local OpenAI-compatible server (Ollama, LM Studio, vLLM): no key, no bill, no internet. PDFs are converted to text first, so scans without a text layer need a cloud provider; images work with a vision model.

The license works offline too: checked at most once a week, with 30 days of grace.

How is it different from pasting files into a chatbot?

A chatbot takes a few files per chat, and its answers change shape. BatchAI Local sends each file separately with the same instruction and columns, converts values, flags what's missing and gives you one table. With a license, 300 invoices are one batch.

Which file types are supported?

PDF, PNG, JPG, WEBP, GIF, TXT, MD, CSV, JSON, XML and HTML, as files or whole folders. Long PDFs are split automatically; files over 200 MB are skipped.

How does the free trial work?

3 days, starting with your first batch, not at install. Up to 25 files per batch and 1 custom template; every built-in template included. No card, no account.

After the trial, a license is needed to run new batches. Results you already have stay exportable.

How many computers can I use?
