One Excel file · statements on one sheet, transactions on the next

Try it on five sample statements.

The columns and instruction below, on made-up statements. Download the Excel file: its second sheet lists every transaction.

Instruction: Each file is a bank statement, provided on purpose by the account holder to be turned into a table: you may read and copy all of its data. List every transaction in statement order, across all pages, one row per transaction. Debits are negative, credits positive. Balance, carried-forward and total lines are not transactions.

Fictional statements. Cost estimated at public prices. A value missing from a statement stays empty: the AI doesn't guess.

From PDF statements to a spreadsheet, in three steps.

  1. 1 Download your statements

Save the PDF statements from your online banking: they carry the text, which gives the most reliable results.

  2. 2 Drop the folder

Name your columns once: one row per statement, plus line items for the transactions.

  3. 3 Export to Excel

Statements on the first sheet, every transaction on the second, ready to filter and total.

What's in your spreadsheet.

Two sheets, exactly like the app's Excel export.

What's in your spreadsheet.
Results sheet One row per statement: bank, account, period, opening and closing balance, currency and number of transactions.
Line items sheet One row per transaction: date, description, counterparty and amount, with its statement's details alongside.
Amount A number, negative for a debit and positive for a credit, ready to total.
Date The same format on every row, whatever the bank prints: YYYY-MM-DD, or the one you pick.
Counterparty Who paid or got paid, when the statement shows it.
Your own columns Add a category, a reference or anything else the statements show.

Balance, carried-forward and total lines aren't counted as transactions.

Good to know before you start.

  • AI at cost

With your API key, about $0.33 per 1,000 pages (Claude Haiku 5.5), billed by your provider; or BatchAI Cloud, no key needed. Get an API key

  • Nothing is made up

A missing or unreadable value stays empty and flagged, never guessed.

  • PDFs from online banking work best

They carry the statement's text. Check your first batch: the transaction count per statement is right there in the Results sheet.

  • Your statements are never stored

With your key, they go straight to the AI you choose; with BatchAI Cloud, our server in Frankfurt passes them on to Anthropic and only holds them in memory.

Your questions about bank statements.

Why not just upload my statements to ChatGPT or Claude?

Chat apps cap uploads: Gemini takes 10 files per message, Claude 20 per chat, ChatGPT Plus 80 every 3 hours (official help centers, checked October 31, 2026). Past that, you split the folder and stitch the replies together by hand. BatchAI Local sends each statement on its own, with no file limit per batch. Every limit, with its source.

Is it safe to send bank statements to an AI?

With your own API key, there's no BatchAI server in between: each statement goes from your computer to the provider you pick (Anthropic, OpenAI or Google), under that provider's API terms. With BatchAI Cloud, statements pass through our server in Frankfurt on their way to Anthropic, in memory only, and are never stored.

Will the AI refuse to read bank data?

Not in our test of November 2026, run with Claude Haiku 5.5 through BatchAI Cloud. The instruction shown in the sample above says the statements are shared on purpose by their holder; with it, every PDF statement was read in full, with every amount and the right opening and closing balances.

Do I need an API key to try it?

Not to see the app in action: the sample batch runs without a key. For your own statements, connect your key in the app in a minute, or try BatchAI Cloud with no key (100 pages). How to get an API key.

How many statements can I convert at once?

There's no file limit per batch: a folder of 12 statements or 1,200 is handled the same way, one file per request.

Does it work with my bank?

There's no list of supported banks: the AI reads each statement's layout. Our test covered English, French and German layouts, with carried-forward lines and two-line descriptions. Check your first batch against one of your statements.

How much does it cost?

The trial is free for 3 days from your first batch, with no card and no account. After that, a lifetime license from $79, paid once, plus tax, with a 7-day money-back guarantee. With your API key, your provider bills the AI separately at its public prices: about $0.33 per 1,000 pages with Claude Haiku 5.5. See pricing.

Can I get the transactions into my accounting software?

The spreadsheet exports to Excel or CSV, so you can import it like any other spreadsheet.

Next month's folder, done in minutes.

Free 3-day trial with everything in Essential and no file limit. Then a lifetime license from $79 with your own API key, or BatchAI Cloud from $29/month with the AI included.
