How many files can I upload to ChatGPT, Claude or Gemini?

Each app has its own limit: Gemini takes up to 10 files per message, Claude 20 per chat, ChatGPT Plus 80 every 3 hours. Sources: Gemini Apps Help, Claude Help Center, OpenAI Help Center, checked on October 31, 2026. Every limit, AI by AI.

BatchAI Local has no file limit: it sends each file in its own request, through the API, with your own key or with BatchAI Cloud. A folder of 200 invoices goes through in one batch, even during the trial.

Is the AI included in the license?

No. The license is the app, for life: it works with your own API key from Anthropic, OpenAI or Google, and your provider bills you for the AI directly, often a few cents per batch (usually $5 of prepaid credit to start). Without an API key or a local model, the license processes no files.

No API key? BatchAI Cloud includes the AI (Claude), from $29/month: a monthly subscription instead of a license, cancel anytime.

Do I need an API key to try it?

No. Without a key, the trial includes BatchAI Cloud: 100 pages with the AI included, nothing to set up. With your own key from Anthropic, OpenAI or Google, the AI stays at cost, often a few cents per batch, with no page limit. Getting one takes a couple of minutes, and the guide shows each step.

Connecting it takes about a minute: the app opens the right page, detects the provider and tests the key. The 3-day trial starts with your first batch, with everything in Essential and no file limit.

Can I use it without an API key?

Yes, with BatchAI Cloud: an optional monthly subscription with the AI included, from $29/month plus tax. Same features and computers as the license of the same level, pages shared across your computers, cancel anytime. The free trial includes 100 pages to try it. See the plans.

With your own key, the lifetime license stays the cheapest and your files go only to your AI provider. With BatchAI Cloud, they go through our server in Europe to Anthropic, in memory only, never stored. Already own a lifetime license? BatchAI Cloud costs you less.

Used up the month's pages? Buy extra pages in the app: $12 per 1,000 pages, as many as you need, with no expiry date, used once the month's pages run out. Or move up a plan, or use your own API key. There's no daily limit, only the month's pages.

A PDF page or an image counts as 1 page, a text as 1 page per 3,000 characters. An unusually heavy page counts as one page per 10,000 tokens.

What is an API key and how do I get one?

A password that lets an app use an AI service on your own account. Your provider bills what you use, often a few cents per batch. Create one here:

Add a little prepaid credit first. Gemini has a free tier, enough to test; Google may use free-tier data, so enable billing for confidential files.

New to this? The 2-minute guide shows each step. Rather not use a key at all? With a Pro or Team license, you can run a local model.

How is my API key secured?

It's encrypted in your operating system's keychain (Windows Credential Manager or macOS Keychain), never in a plain file. The app reads it when a batch starts and sends it only to its provider, over HTTPS. It never goes through a BatchAI server, so we never receive, log or store it. Delete it from Settings at any time.

Is my ChatGPT Plus or Claude Pro subscription enough?

No. Chat subscriptions and API access are billed separately, even at the same company. The API is pay as you go, usually a few cents per batch. How to set it up.

How much will the AI cost me?

You pay your AI provider directly, for what you use: about $0.0003 per page with Claude Haiku 5.5. At public prices as of October 25, 2026, 1,000 one-page documents cost about $0.33 with Claude Haiku 5.5 and $13 with Claude Opus 5.5.

The app keeps the cost in check, trial included: an estimate before each batch, a cap per batch that pauses and asks before going further, a live counter, then the final cost next to the estimate. Amounts are marked ≈: they are estimates at public prices, and your provider's invoice prevails. The calculator estimates your monthly bill.

Is the cost estimate exact?

No, it's an estimate: the app counts pages and tokens and applies your model's public price. Your provider's bill can differ a little (caching, reasoning tokens, discounts, taxes) and is the reference.

You see the estimate before each batch and the running total while it runs, so you can stop or switch to a cheaper model at any time.

Are my files stored or sent to you?

With your own key, no: files are read on your computer and sent only to the AI provider you chose, under its terms. With BatchAI Cloud, they go through our server in Frankfurt to Anthropic, in memory only: never stored or logged. With a local model (Pro and Team licenses), nowhere.

Results stay on your computer. During a batch, a recovery journal (file paths, extracted values) is kept on your disk, then deleted. The app's other connections never carry your files, results or keys: license and trial checks with our license server, a daily download of the AI model list and prices, update checks, and error reports if you agree to send them.

Confidential files? Check your provider's data terms, choose Locally extracted text, or run a local model.

Does it work offline or with local models?

Yes, with a Pro or Team license and a local OpenAI-compatible server (Ollama, LM Studio, vLLM): no key, no bill, no internet. PDFs are converted to text first, so scans without a text layer need a cloud provider; images work with a vision model. The trial and Essential work with Claude, ChatGPT and Gemini.

The license works offline too, for up to 90 days at a time: it renews quietly whenever you're online. During the trial, starting a batch needs an internet connection.

How is it different from pasting files into a chatbot?

A chatbot takes a few files per chat, and its answers change shape. BatchAI Local sends each file separately with the same instruction and columns, converts values, flags what's missing and gives you one spreadsheet. Even during the trial, 300 invoices are one batch.

Which file types are supported?

PDFs, scans and photos (PNG, JPG, WEBP, GIF, TIFF, and iPhone HEIC photos on a Mac), Word documents (.docx), Excel and LibreOffice workbooks (.xlsx, .xlsm, .xls, .ods), emails (.eml, and .msg from Outlook) and text files (TXT, MD, CSV, JSON, XML, HTML), as files or whole folders.

An email is read in one pass with its attachments: PDF, Word, Excel or text. A scan or a photo attached to an email isn't read: add it as a separate file.

Long PDFs, up to 1 GB, are split automatically; other files over 200 MB are skipped.

How does the free trial work?

3 days, starting with your first batch, not at install. Everything in Essential: no file limit per batch, several batches at once, all three kinds of result, Excel, CSV, Word and Markdown export, presets, checks and line items, with Claude, ChatGPT or Gemini and your own API key, or without a key with BatchAI Cloud (100 pages). Pro and Team features show a lock. No card, no account.

During the trial, the app processes 4 files at a time. A license is faster: 8 with Essential, up to 32 with Team.

After the trial, a license is needed to run new batches. Results you already have stay exportable.

Which license do I need?

  • Essential ($79): everything for one person, on 1 computer. 8 simultaneous requests and several batches at once, presets for repeat jobs, learning from your corrections, automatic checks and duplicates, line items and multi-document PDFs, economy mode, history, template packs. No paid add-ons on top.
  • Pro ($149): everything in Essential on 3 computers, with 20 simultaneous requests, accounting exports (DATEV, FEC, Xero, QuickBooks), presets shared across the team and local models (Ollama, LM Studio, vLLM).
  • Team ($349): everything in Pro on 10 computers, with 32 simultaneous requests, a watched folder and a webhook that sends results to Zapier, Make or n8n.

Each is paid once. Prices exclude tax: the VAT or sales tax due in your country is added at checkout. Upgrade later by paying the difference.

None includes the AI: every license works with your own API key, billed by your provider. No API key? BatchAI Cloud includes it, from $29/month.

How many computers can I use?

1, 3 or 10, depending on the license: Essential ($79), Pro ($149) or Team ($349), paid once. Each computer uses its own license key. Changing computers? Click Deactivate on this device on the License screen, then enter the key on the new one. More than 10? Take Team, then add computers at $25 each from the License screen.

Why isn't this a subscription?

The app isn't one: you pay for it once, from $79, and your provider bills the AI you use with your own key. Only the optional BatchAI Cloud is a subscription, because there we supply the AI every month.

What's the refund policy?

A license, an upgrade or extra computers ordered less than 7 days ago are refunded in full, from your keys page (“Cancel…”), with no questions asked. After that, the license is yours for life. BatchAI Cloud is never refunded: you can cancel at any time, and it stays active until the end of the paid month. Details in the refund policy. Write to support@batchailocal.com.

Which versions of Windows and macOS are supported?

Windows 10 or 11, 64-bit, and macOS (Apple silicon and Intel). The download button picks the right version.

The first versions aren't code-signed yet, so the first launch asks you to confirm:

  • Windows: on “Windows protected your PC”, click More info, then Run anyway.

Do I get updates?

Yes: every 1.x version is included, and your license never expires. The app checks for updates, downloads them in the background and installs them when you restart it. New versions are listed in the changelog.

Next month's folder, done in minutes.

Free 3-day trial with everything in Essential and no file limit. Then a lifetime license from $79 with your own API key, or BatchAI Cloud from $29/month with the AI included.
